Provomatic

Ordering process

From choosing a product to a running server – how your customers experience an order, and what Provomatic does along the way.

From the customer’s view

  1. Choose a product

The customer opens your shop, picks a product group (for example Minecraft) and a plan. Consumers see prices including VAT, business customers see net prices.

  2. Configure

They choose the billing cycle (1, 3, 6 or 12 months) and the options you offer, such as memory, location or server name. The price updates instantly.

  3. Cart

In the cart they can add more products and redeem a discount code.

  4. Sign in or register

New customers create an account with a billing address and confirm their email address; business customers enter their VAT ID.

  5. Checkout

The customer reviews the order, accepts the terms and privacy policy and, as a consumer, expressly waives the right of withdrawal so the server may be provisioned immediately. Then they click “Place order and pay”.

  6. Pay

The invoice’s payment page opens right away. The customer chooses Stripe, PayPal, Mollie or bank transfer and is sent to the provider. After paying they come back and see “Thank you, the payment has arrived!”.

  7. Use the server

The service shows as active in the customer area, with a direct link to the panel and the access details. The invoice is ready as a PDF.

What happens in the background

WhenProvomatic
OrderThe order is recorded with all prices and options, together with the consents including time, IP address and version of the legal texts. The services are created (“being prepared”).
Right afterThe invoice is created, calculated with the right VAT, finalised with the next free number and stored as a PDF with ZUGFeRD.
PaymentProvomatic creates a payment for the amount due at the provider. When the customer returns or the webhook arrives, Provomatic reads the status directly from the provider and compares amount and currency.
PaidInvoice and order count as paid. Provisioning starts: Provomatic creates the user and the server in the panel.
ProvisioningEvery step is verified. If something fails (for example the panel is unreachable), Provomatic retries the step and shows it in the provisioning monitor.

Review by your team

You can hold certain orders until they are reviewed: all orders, orders from new customers or orders above a certain amount. They go to the review queue in the admin area. Once approved, everything continues automatically; if rejected, the invoice is cancelled with a credit note.

Special cases

  • Bank transfer: the order waits for the payment. Your team records it in the admin area – partial amounts too. As soon as the invoice is paid in full, provisioning starts.
  • Cancelled payment: the customer can pay the invoice again at any time in the customer area, also with another provider.
  • Delayed payment methods (such as SEPA direct debit): the order is delivered as soon as the provider confirms the payment.
  • Cancellation: when your team cancels an order, Provomatic issues a credit note. A payment already made can be refunded at the provider directly from the admin area.
