Provomatic

Features

An overview of everything Provomatic does today. What is still in progress is listed under Coming soon.

Shop

  • Product groups and products with cover image, banner and logo, short description and a landing page per group (for example one page per game).
  • Prices per billing cycle: 1, 3, 6 or 12 months, stored net; consumers see gross prices, business customers net prices.
  • Configurator with choice and text options (such as RAM, location, server name) and a live price.
  • Cart with several products and discount codes: percentage or fixed amount, once or recurring, validity period, maximum uses (in total and per customer), limited to certain products or billing cycles, new customers only.
  • Stock and limits: stock per product and a maximum number of running contracts per customer.
  • Review rules: orders from new customers, above an amount or all orders can be held until your team approves them.

Checkout and consumer law

  • Order with registration or an existing account, consumers and business customers.
  • Consent to terms and privacy policy recorded with time, IP address and the version of the legal text in force.
  • Withdrawal notice and express waiver of the right of withdrawal for immediate provisioning (§ 356 BGB) – required for consumers before ordering.
  • “Place order and pay” button and all details the German button rule requires.
  • Legal texts (legal notice, terms, privacy, withdrawal) versioned in the admin area, every change stays traceable.

Customer area

  • Overview with active services, amount due, open invoices with a pay button, orders in progress and support contact.
  • Services with status, configuration, billing cycle and a direct link to the panel; the module supplies access details and notes for the service page.
  • Orders and invoices with PDF download – the download is only served if the checksum of the finalised file matches.
  • Account details, address, VAT ID (checked via VIES) and language.
  • Security: password, two-factor sign-in with an app and recovery codes, and passkeys.
  • Switchers for language (German/English) and colour scheme (light, dark, system).

Invoices

  • Gap-free number ranges for invoices and credit notes, assigned inside a database transaction: an error never uses up a number.
  • Finalisation: once issued, an invoice cannot be changed – in the application and additionally by database triggers. PDF and XML are stored with a SHA-256 checksum.
  • Cancellation only by credit note referring to the original invoice, partial credit notes too.
  • E-invoicing: ZUGFeRD in the EN 16931 profile embedded as PDF/A-3, and XRechnung 3.0 as XML – validated against the schema before finalisation.
  • Three invoice designs (Classic, Modern, Compact) with preview, your own accent colour and an editable footer per language.
  • Bank details and a GiroCode on the invoice so customers can pay with their banking app.
  • Kept for 10 years; invoices remain when a customer account is deleted.

VAT

CaseTreatment
Domestic (Germany)German VAT rate
Small businessNo VAT, note under § 19 UStG on the invoice
Consumer in the EUVAT rate of the customer’s country (One-Stop-Shop), country evidenced by the billing address
Business customer in the EUReverse charge with a verified VAT ID and the required note
Outside the EUNot taxable, with a note

Tax rates have a start date. When a country changes its rate, you enter the new rate with its date – older invoices stay as they are.

Payments

  • Stripe (card, Apple Pay, Google Pay, SEPA direct debit, Klarna and other methods enabled in your Stripe account), PayPal and Mollie.
  • Bank transfer with bank details and GiroCode, recorded by hand in the admin area, partial payments too.
  • The payment status is always read from the provider, never taken from the webhook. Amount and currency must match exactly; otherwise the payment is rejected and logged.
  • Webhooks with signature checks; every event is processed exactly once and logged in the admin area.
  • Refunds from the admin area directly at the provider, with an automatic credit note.
  • Test mode per provider; customers see on the payment page that no real money moves.

Provisioning

  • Pelican and Pterodactyl module: create, suspend, unsuspend and delete servers, create the panel user automatically. Per product you choose the game (egg) and resources: RAM, CPU, disk, swap, databases, backups and ports.
  • Manual module for services without automation (licences, services, managed servers).
  • Every step is a task with retries: if something fails, Provomatic tries again and finally checks that the server really exists.
  • Provisioning monitor in the admin area shows running, failed and diverging tasks.
  • Server management with connection test; credentials are stored encrypted.
  • Module interface for your own modules – KeyHelp, Plesk, Proxmox and domains are in progress.

Themes

  • Four bundled themes for shop and customer area: Default, Gaming (image-rich, with original illustrations), Business and Minimal.
  • Every theme in light and dark; customers can choose themselves if you allow it.
  • Settings with live preview: colours, logo, images, texts.
  • Upload and download themes as ZIP, create your own theme with a wizard, detailed guide in the admin area.
  • Your own themes inherit from an existing theme and only override the parts they change.

Texts and languages

  • Shop, customer area, administration and invoices in German and English.
  • Language per customer and per staff member; visitors get their browser language.
  • Text editor in the admin area: change every interface text per language, sorted by section, with search and reset.

Administration and team

  • Admin area with orders, customers, services, invoices, payments, products, servers, discount codes and settings.
  • Roles and permissions in fine detail, for example support without access to payments.
  • Sign in as customer: support sees the customer area exactly as the customer does, with a clear notice and a way back to the admin area.
  • Setup wizard for company details, taxes, invoices and basic settings.
  • Audit log of all important changes, hash-chained and verifiable against tampering.

Security

  • Two-factor sign-in for staff (app) and customers (app and passkeys).
  • API keys and passwords of payment providers and servers stored encrypted and never shown in plain text in the admin area.
  • Sign-in rate limiting, secure sessions, CSRF protection.
  • Runs on your own server – customer data only leaves your infrastructure for payments and provisioning.

Licence and updates

  • One-time purchase per installation (one domain), unlimited customers, products and staff.
  • One year of updates included, renewable afterwards. When the update period ends, Provomatic keeps working without restrictions.
  • Prices will be published with the launch of version 1.0.
