General
What is Provomatic?
Provomatic is software for hosting companies: shop, customer area, invoices, payments and automatic provisioning in one. You install it on your own server.
Who is Provomatic for?
For providers of game servers, web hosting, virtual and dedicated servers – from sole traders to mid-sized hosts. The focus is on companies in Germany and the EU that need legally compliant invoices.
Is Provomatic finished?
Not quite. Shop, customer area, invoices, payments and provisioning for Pelican and Pterodactyl are done. Subscriptions, tickets and emails come next, then web hosting, domains and accounting. See Coming soon for the current status.
Can I try Provomatic before the launch?
Yes, we are looking for hosting companies for the closed beta. Write to us via the support page.
Which languages does Provomatic support?
German and English – for customers and staff. Every interface text can be changed in the admin area.
Licence and pricing
How much does Provomatic cost?
Prices will be published with the launch of version 1.0. The model is fixed: a one-time purchase per installation with one year of updates, no monthly fee and no limit on the number of customers.
What happens when the update period ends?
Provomatic keeps working without restrictions. You just do not get new versions until you renew the updates.
How many domains does a licence cover?
Exactly one domain where shop and customer area run. Moving to another domain is possible.
What does the licence check send?
Licence key, domain and version. No customer data, no revenue, no invoices.
Invoices and taxes
Are the invoices GoBD-compliant?
Provomatic meets the technical requirements: gap-free numbers, immutability after issuing (also at database level), cancellation only by credit note, checksums and retention. For your company’s overall GoBD compliance you also need process documentation – talk to your tax adviser about it.
Does Provomatic support e-invoicing?
Yes. Every invoice contains ZUGFeRD in the EN 16931 profile (PDF/A-3 with embedded XML). XRechnung 3.0 is available as XML too, for example for public authorities.
How does Provomatic handle EU customers?
Consumers in the EU pay the VAT of their country (One-Stop-Shop). Business customers with a valid VAT ID get a reverse-charge invoice; the number is checked via VIES. Customers outside the EU get an invoice without VAT.
Does it work for small businesses?
Yes. Choose “small business” in the setup wizard; Provomatic then charges no VAT and prints the note under § 19 UStG.
Can I change an invoice afterwards?
No, the law wants it that way. You cancel the invoice with a credit note and issue a new one. Provomatic does both in a few clicks.
Do I get data for my accounting?
Today you can download invoices and credit notes as PDF and XML. DATEV export and the connection to Lexware Office and sevDesk are in progress.
Payments
Which payment providers are supported?
Stripe, PayPal and Mollie as well as bank transfer with GiroCode. You can offer several at once. We describe the setup step by step.
Does Provomatic charge fees on payments?
No. Only your payment provider’s fees apply. Provomatic takes no commission.
What happens if a customer cancels the payment?
The invoice stays open. The customer can pay it in the customer area at any time, also with another provider.
Can I refund money?
Yes, in full or in part directly from the admin area. Provomatic refunds at the provider and issues the credit note automatically.
Are payment methods saved for renewals?
Automatic charging on renewal comes with the next phase (subscriptions and lifecycle). Until then customers pay each invoice with the pay button.
Technical
What do I need for the installation?
A Linux server with PHP 8.3+, MariaDB or MySQL and nginx or Apache. Details are in the installation guide.
Which panels are supported?
Pelican and Pterodactyl. KeyHelp and Plesk for web hosting, domains and Proxmox will follow. More systems can be connected through the module interface.
Can I change the look?
Yes. There are four themes with settings for colours, logo and images, all in light and dark. You create your own themes with a wizard; a guide is in the admin area.
Can I move from WHMCS, Blesta or Paymenter?
An import for WHMCS, Blesta, Paymenter and PteroCA is planned and will come before version 1.0.
Where is my customers’ data stored?
On your own server. Provomatic only sends third parties what is needed for payment and provisioning – your payment provider and your panel.
Interested in the beta?
Provomatic is in development. Write to us if you would like to try it with your hosting company before the launch.
